This policy explains what personal information Tanzaology Tours & Safaris ("we", "us") collects through tanzaologysafaris.com, why we collect it, and what rights you have over it. We are a tour operator registered in Arusha, Tanzania, and we are the data controller for the information described here.

1. Information we collect

Information you give us

When you complete our safari enquiry form, contact form or newsletter sign-up, we collect:

  • Your name and, where you provide it, your country of residence
  • Your email address and telephone number
  • Your travel plans — destinations, trip length, budget range and intended travel month
  • The number of adults and children travelling, including children's age brackets, because park fees and vehicle configuration depend on them
  • Anything else you choose to write in the free-text fields

Information collected automatically

  • Your IP address and the date and time of a form submission, which we record to detect and block automated spam
  • Standard server log data such as browser type and the pages you visited

Live chat

Our live chat widget is provided by Tawk.to. If you open a chat, Tawk.to receives your messages and sets cookies in your browser to maintain the conversation. Their handling of that data is governed by the Tawk.to privacy policy.

Maps

Our contact page and destination maps embed Google Maps and OpenStreetMap. Loading a map sends your IP address to those providers. See the Google Privacy Policy and the OpenStreetMap Foundation privacy policy.

2. Why we use it

  • To answer your enquiry and quote for a trip. This is the main reason we collect anything, and it is necessary in order to take steps at your request before entering a contract.
  • To arrange your safari once you book — which means sharing the details below with the suppliers who deliver it.
  • To send you occasional safari news, but only if you have ticked the newsletter box. You can withdraw that consent at any time.
  • To protect the site from spam and abuse, which is our legitimate interest.

We do not sell your personal information, and we do not use it for automated decision-making or profiling.

3. Who we share it with

To run your trip we pass the details needed to:

  • The camps, lodges and hotels you will stay at
  • Domestic airlines and transfer operators
  • National park and conservation authorities, where entry permits require named travellers
  • Our guides and drivers

We share only what each supplier needs. We also use the service providers named in section 1 (Tawk.to, Google, OpenStreetMap) and our web host, which processes form submissions and email. We will disclose information where the law requires it.

Because our suppliers are in Tanzania and East Africa, information you send us is processed outside the UK and European Economic Area.

4. How long we keep it

  • Enquiries that do not become bookings: up to 24 months, so we can pick up the conversation if you come back to us.
  • Booking records: seven years, to meet Tanzanian tax and accounting rules.
  • Newsletter subscribers: until you unsubscribe.
  • Spam-prevention logs: a rolling window of a few hours.

5. Your rights

You can ask us to:

  • Give you a copy of the information we hold about you
  • Correct anything that is wrong
  • Delete it, where we have no continuing legal reason to keep it
  • Stop using it for marketing — always, and without giving a reason
  • Restrict or object to how we use it

Email [email protected] and we will respond within 30 days. If you are in the UK or EEA and are not satisfied with our response, you may complain to your national data protection authority.

6. Cookies

This website sets no advertising or analytics cookies of its own. The Tawk.to chat widget sets cookies so that a conversation survives a page change, and embedded maps may set cookies when you load them. You can block or delete cookies in your browser settings; the site will still work, but live chat will not keep your conversation.

7. Security

Form submissions are sent over HTTPS and delivered by email to our office account. No method of transmission over the internet is completely secure, so please do not send passport scans, card numbers or other sensitive documents through the website forms — we will tell you how to send those securely once you book.

8. Children

This site is not directed at children and we do not knowingly collect information directly from them. Where you tell us about children travelling with you, we rely on you as their parent or guardian to provide those details.

9. Changes to this policy

If we change how we handle personal information we will update this page and change the date at the top.
